The short version
- We collect what we need to run your account and your workspace, and nothing for advertising.
- We never sell your information.
- Your price book, quotes and bid decisions are yours. We never use them to build benchmarks or insights for other customers. Pricing research comes only from USAC's public data.
- The app uses one cookie, to keep you signed in. This website sets no cookies and loads nothing from third parties.
E-Rate Workbench ("Workbench," "we," "us") is a service of Mars Network Services, Inc., a Florida corporation. This policy explains what we collect when you visit erateworkbench.com or use the app at app.erateworkbench.com, how we use it, and the choices you have. Workbench is built for businesses, mainly E-Rate service providers. In this policy, "you" means the person using Workbench, and "your company" means the business that holds the workspace.
1. Information we collect
Account information
Your email address, your name if you add it, the workspaces you belong to and your role in each (owner, bidder or viewer), invitations you send or receive, and when you last signed in.
Workspace data
Information your team enters or uploads, which we call Customer Data. This includes company details, office locations and service radius, the services you sell, screening and consultant rules, your progress on provider registration steps and any identifiers you choose to record there, your price book, opportunities, bid decisions, quotes, notes, digest recipients, and a log of actions taken in the workspace.
Sign-in and technical information
We sign you in with single-use links sent by email, which expire after 20 minutes. Once you're signed in, a session cookie keeps you signed in. Our hosting providers keep standard server logs, such as IP address, browser type and request times, which we use for security and troubleshooting.
Billing information
Starting a trial requires a payment card. Payments, billing and sales tax are handled by Stripe. We receive billing contact details and payment status. We do not store full card or bank account numbers.
Messages you send us
If you email us, we keep the message and our reply so we can help you.
Public E-Rate data
Workbench displays records from USAC Open Data: public information about schools, libraries, Form 470 and Form 471 filings, funding requests and awards. Some public filings name individuals, such as the contact person on a Form 470. We show these records as USAC publishes them and refresh them nightly. USAC is the official source. If a public record about you is wrong, it must be corrected with USAC, and we'll pick up the correction on the next refresh.
2. How we use information
- To provide Workbench: screening filings against your rules, building your daily digest, and running your pipeline, quotes and award tracking.
- To sign you in and protect accounts, including rate limits and abuse prevention.
- To send service email: sign-in links, digests, invitations, and notices about your account or changes to the service.
- To provide support and fix problems.
- To bill for paid plans.
- To understand how the service is used and improve it, using aggregate information that does not reveal your pricing, quotes or bid decisions.
- To comply with the law and enforce our Terms of Service.
We do not sell personal information, share it for cross-context behavioral advertising, or use Customer Data to build products, benchmarks or insights for other customers.
3. Cookies
The app sets one essential cookie that keeps you signed in for up to 30 days. It can't be read by page scripts and isn't used for tracking. This website sets no cookies, and its fonts and scripts are served from erateworkbench.com itself. We don't use analytics, advertising or third-party tracking cookies. If that changes, we'll update this policy first.
4. Who we share information with
We share information only in these cases:
- Service providers that run parts of Workbench for us, under contracts that limit their use of it: Railway (app hosting and database), Resend (email delivery), Cloudflare (website hosting and domain name services) and Stripe (payments, billing and sales tax).
- Your workspace. People your company invites can see workspace data, according to their role.
- Our administrators. A small number of authorized Workbench administrators can open a workspace when needed to operate, support or secure the service.
- Legal requirements. When required by law or legal process, or to protect the rights, property or safety of our customers, the public or us.
- Business transfers. If Workbench is merged, acquired or sold, information may transfer to the new owner, who must continue to honor this policy.
5. Security
We encrypt connections with TLS, keep each company's workspace isolated from every other workspace, check roles on every request, and use passwordless sign-in with single-use, expiring links. No system is perfectly secure. If a security incident affects your information, we'll notify you as required by law.
6. Retention and deletion
We keep account information and Customer Data while your company's workspace is active. If your company cancels, a workspace owner can ask for an export of its Customer Data. We delete or de-identify Customer Data within 90 days after the workspace closes, except for records we must keep for legal, tax, billing or security reasons. Server logs and sign-in records are kept only as long as needed for security and troubleshooting.
7. Your choices and rights
- Access, correction, deletion and export. Email us to ask for a copy of your personal information, to correct it, or to delete it. For Customer Data, we act on behalf of your company and may confirm the request with a workspace owner.
- Workspace controls. Owners decide who is in the workspace, what role each person has, and who receives digests.
- Email. Owners can change digest recipients. Sign-in links and account notices are part of the service and continue while you have an account.
- State privacy laws. If a state privacy law, such as California's, gives you more rights, we honor them. We won't treat you differently for using them.
8. Children and students
Workbench is a business tool and is not directed to children. We don't knowingly collect personal information from anyone under 16. Student counts in Workbench are aggregate public numbers from USAC. We don't collect or display information about individual students.
9. Where data is stored
Workbench is operated from the United States, and our service providers process information in the United States.
10. Changes to this policy
We'll post any change here and update the date at the top. If a change is material, we'll email workspace owners before it takes effect.
